Administration & Finance Lead


We are seeking an Administration & Finance Lead who embodies our values, understands the future challenges and opportunities for this position and is passionate about creating impact in Spain’s education to employment ecosystem.

What will you do
The Administration & Finance Lead is a full-time leadership role that will report directly to the Chief Executive Officer of Generation Spain and will work closely with the European Finance Manager. You will oversee the overall admin, legal, people and finance related tasks.

You will be part of Generation Spain. Generation’s mission is to train, coach and support people into life-changing careers that would otherwise be inaccessible.

Generation Spain is an independent, non-profit organization, promoted by McKinsey & Company to develop innovative and replicable solutions to the challenge of unemployment, especially youth unemployment. It is a global project that promotes employability through training that connects the needs of companies with the professional and social skills of students. The common denominator to all of them is that learning takes place in an environment where teamwork, perseverance and time management make the difference to succeed in today’s job market. Generation, founded in 2015, is currently present in a total of 14 countries. Generation has accompanied more than 40,000 students worldwide, 3,000 in Spain, working with a wide network of partners and funders.

To be successful you'll need:

• Bachelor’s degree in Laws or BA
• Masters or CPA equivalent is a plus
• Minimum of 3-5 years of related work experience
• Fluency in spoken and written English and Spanish
• Ability to work well in a team, as well as independently and to work remotely with other colleagues
• Good planning and organisational skills and efficient work methods
• Excellent communication and interpersonal skills
• Strong knowledge of accounting software (SAP, SAGE or Dynamics ERP)
• Proficiency in MS Office – Word, Excel and Power Point applications
• Experience collaborating virtually (i.e. Zoom, conference calls, Google Docs)
• Prior experience with international not-for-profit organizations preferred

What you'll do:

MAIN RESPONSIBILITIES

ADMINISTRATION AND FINANCE
• Monitor, and prepare when needed, Generation Spain’s financial operations, such as expenses, contracts, invoicing and payments while meeting our charity, stakeholders and statutory reporting requirements.
• Work with external partners for accounting, tax preparation, auditing, banking, investments, and other financial needs as necessary. Ensure all financial records are properly kept and maintained
• Work with Generation Global & Europe’s finance colleagues to coordinate monthly financial closing, reporting and consolidation.
• Prepare financial and ad-hoc reports for presentation to partners, funders, trustees, and management team
• Managing an end-to-end audit process of current systems – while acting as the first point of contact for external auditors.
• Continually identify risks to delivery, propose solutions where necessary and effectively manage stakeholder expectations throughout.
• Dealing with working capital management and production of cash flow forecasts.
• Oversee and report on ongoing spend on each of our programs around Spain.
• Assist the annual internal budgeting and cost & pricing process, under the coordination of Regional Finance.
• Develop and maintain effective office systems (e.g., IT support, office maintenance, fixed assets, supplier contact), ensuring these are consistent with Generation Spain operating requirements.
• Ensure all procurement processes are in compliance with Generation and donor regulations.
• Support logistics for Generation Spain’s programme activities.
• Assisting with other admin and institutional relations tasks as required by management

HUMAN RESOURCES
• Manage the human resources daily operational tasks (cost reimbursement, health insurance…)
• Ensure staff handbook is reviewed and updated as required to comply with Generation Spain’s and statutory procedures.
• Maintain personnel records
• Coordinate recruitment/induction in line with Generation Spain & Global’s processes.
• Coordinate and monitor the internal training and professional development procedure and activities aligned with Global Chief People Officer’s framework
• Work with the CEO and leaders’ team on the adequate team size and structure for assuring good results.
• Propose and deploy the inclusive and wellbeing initiatives.
• Coordinate the annual objectives’ definition and performance evaluation.
• Support on HR policies when required to ensure these comply with Spain’s statutory regulations.

LEGAL
• Manage “protectorado” and other legal stakeholders’ relationship
• Monitor the fulfilment of governance and other legal requirements
• Validate the contracts and MOU’s drafts and coordinate their external legal revision
• Manage with our external lawyers the legal requirements (GDPR, risk map…)
• Maintain financial policies and procedures for the Foundation looking for an outstanding transparency.
• Ensuring insurance, legal, health and safety obligations are adhered to.
