Operations Coordinator

Are you an experienced program operations coordinator with experience developing or managing systems and processes for non profit or startup organisations? Do you want to utilise your operational skills to provide support to disconnected individuals attending the Generation employment training program?

We are seeking a talented Operations Coordinator, interested in working within our programs team to provide additional operational support to Program Coordinators. As Operations Coordinator you will provide support across our programs to help recruit and select students for our cohorts. You will work with Program Coordinators to ensure program delivery is smooth and efficient and student experience is positive and impactful. You will support the development and implementation of improved systems and processes across programs. You will report to the National Programs Manager.

Type of role: Permanent, full time

Location: Sydney preferred, other locations may be considered

To be successful you'll need:

  • At least 2 years experience in program/operations coordination, preferably in a not for profit, start-up or social enterprise environment
  • Experience working with operational tools such as Salesforce, slack, Mailchimp, Confluence, etc.
  • Experience developing and improving systems and processes utilised for program delivery, logistics, administration and CRM.
  • Experience supporting teams to achieve multiple competing priorities.
  • Excellent attention to detail with the ability to plan and anticipate need.
  • High degree of self-motivation and independence whilst also being a team player.
  • Self-reflective and open to feedback from students and Generation team.
  • A professional demeanour, excellent organisational, interpersonal and communication skills.
  • Entrepreneurial and proactive mindset required in the start-up environment to deliver against targets and seek opportunities for improvement/growth without instruction.

You have experience coordinating not-for-profit or social enterprise programs or operations. You have experience developing and improving systems and processes. You have an eye for detail and a head for efficiency. You are comfortable diving into a role and using your initiative to overcome obstacles. You have immaculate attention to detail and are comfortable learning to use a variety of IT tools. You have outstanding interpersonal skills and a positive spirit to work closely with participants and stakeholders from diverse backgrounds. ​You are excellent at anticipating need and providing support to other team members to ensure programs run smoothly. Most importantly, you have a proven ability to tailor your communication in an honest, open, transparent, yet nurturing way.

What you'll do:

Recruitment and Selection Support

  • Work across different programs, according to need, to support Program Coordinators with recruitment and selection of students.
  • Process applications, respond to student queries and schedule interviews.
  • Conduct phone screenings and interviews alongside Program Coordinators.
  • Assisting in the selection process, through assessment of candidates and contributing to selection committee meetings
  • Providing ongoing assistance to students through the enrolment process to ensure turnout on Day 1 of the program.

Program Delivery Support

  • Support Program Coordinators with program delivery problem solving, including technical, logistical and administrative issues.
  • Provide support to students with ad hoc issues regarding enrolment, administration or logistics.
  • Take part in additional workshops designed to support student needs.

Post Program Support

  • Assist Program Coordinators to match students to viable employers and vacancies that suit their needs.
  • Assist in organisation of interviews and following up with employers.

Operations Development Support

  • Provide support to National Programs Manager in development and improvement of systems and process for programs
